Treasurer

Position Summary

The Treasurer shall ensure there is timely and adequate management of financial resources and reporting to enable the Board to monitor the organization’s financial resources. The Treasurer shall advise the Board of any significant financial matters that require action by the Board. If required, the Treasurer shall ensure that the board engages a qualified auditor for an annual examination of the financial statements.

Key Responsibilities 

  • Prepare a monthly treasurer’s report reporting beginning and ending cash balances, income, budget to actual, expenditures, and any questions or special concerns.

  • Complete the monthly bookkeeping which includes recording transactions, reconciling accounts, and preparing financial statements.

  • Facilitate preparation of the annual budget. Be prepared to explain and justify the document to board members. Enter the budget into Quickbooks.

  • Keep a calendar of important dates and filing deadlines, including the deadlines for Form 990 and filing tax returns.

  • Translate financial concepts and information for board members who do not have financial backgrounds. 

  • Develop and enforce strong internal controls and financial management policies.

  • Ensure accurate and complete financial reporting and proper maintenance of financial records and information/tax returns.

  • Regularly assess risks and whether and how such risks should be mitigated.

  • Have the organization’s financial statements audited whenever required or advisable. 

  • Ensure that excess funds and reserves are properly held and invested, based on strategic priorities.

  • Support the organization program, grant, or funding needs, by providing financial information and budget support to assist with data-driven decision making.

  • Provides in-depth understanding of accounting practices, budgeting, annual independent audits, and IRS 990 and state tax filings to board.

  • Assist with the development and presentation of the annual report.

  • Prepare the annual 990-EZ tax return.

  • Prepare the North Carolina Annual Report.

  • Prepare NC-3 Annual Employer Withholding Reconciliation Return. 

  • Prepare the Business Income Tax Credits Return.

  • Prepare and send contractor 1099s. 

Board Member Responsibilities

  • Provide inspired leadership for The Pines Preservation Guild.

    • Represent The Pines Preservation Guild with the highest standard of integrity and transparency

      • Duty of care, duty of loyalty, duty to act in good faith, duty of obedience

    • Model commitment to our mission, vision, and core values to those within and without our organization.

    • Maintain confidentiality to include, but not limited to, The Pines Preservation Guild’s board meetings, Standards of Operation, policies, and financial records to persons inside and outside of the organization unless deemed appropriate by the executive team to release information.

    • Promote a spirit of teamwork through modeling the way of accountability, effective communication, integrity and creative problem solving.

    • Participate in philanthropic networks. Stay abreast and monitor trends in the nonprofit and foundation world. Identify and undertake professional development and training.

  • Must participate in The Pines Preservation Guild’s “Intro to Historic Preservation” training class prior to start of term of service.

  • Identify and recruit individuals, businesses, and community based organizations that may sponsor or donate funds for the benefit of The Pines Preservation Guild, in line with strategic priorities and funding plan.

  • Follow the bylaws, conflict of interest, and any other policies or publications founded by The Pines Preservation Guild, and take seriously the legal, fiscal, and ethical responsibilities the Board carries

  • Prepare for, attend, and conscientiously participate in board meetings and events.

  • Sign official documents of the organization, as required. 

  • Submit monthly report of committee activities, and annual committee AAR, budget and strategic plan that are in line with The Pines Preservation Guild’s overall strategic plan and program initiatives.

  • Maintain and update position description and submit annually to the President for review.

  • Participate in recruiting of staff/volunteer/board members, specifically taking the lead on planning for their own succession and offering up recommendations to the board. Orients new Treasurer.

Time Required

  • 15 hours per month on average, more time may be required for budget preparation and year end

  • Term of Service: 1 year

Qualifications & Special Skills

  • Transparent and high integrity leadership.

  • Strong personal interest in historic preservation, architecture, and/or urban planning.

  • Committed to accuracy, transparency and timeliness.

  • Financial literacy.

  • High attention to detail

  • Experience with clear and accurate recordkeeping

  • Willingness to ask questions 

Preferred Qualifications

  • Familiarity with Microsoft Office Suite, Google Suite, iWorks, Asana, Canva, Adobe Creative Suite, or similar software.

  • Experience with Quickbooks

  • Experience working with remote teams
